A workstation can look perfectly organized and still leave you with a sore neck, aching back, numb hands, or headaches by the end of the day. Workplace ergonomics is not about finding one “perfect” chair position. It is about arranging work, equipment, and movement so your body is not forced to repeat the same strained posture for hours.

For office workers, that may mean adjusting a screen and changing how often they move. For people in healthcare, warehouses, retail, construction, or driving roles, it may mean improving lifting technique, reducing awkward reaches, or finding safer ways to handle repetitive tasks. Small changes can reduce unnecessary strain, but persistent pain deserves individual assessment and treatment.

What workplace ergonomics is designed to do

Ergonomics is the practical fit between a person, their work area, and the demands of their job. The goal is not to eliminate all physical effort. Most jobs require some degree of sitting, standing, reaching, lifting, walking, or computer use. The goal is to reduce avoidable stress on muscles, joints, nerves, and connective tissue while helping you work comfortably and safely.

A well-designed setup considers more than furniture. It accounts for your height, vision, dominant hand, injury history, job tasks, work pace, and how often you can change position. An adjustment that helps one employee may not help another. A standing desk, for example, can be useful for breaking up long periods of sitting, but standing all day can aggravate feet, knees, hips, or low back symptoms for some people.

Good ergonomics also recognizes that pain is rarely caused by one factor alone. A rushed workload, poor sleep, stress, previous injury, reduced strength, and repetitive movement can all contribute. Improving your setup is worthwhile, but it works best alongside regular movement, sensible workload habits, and appropriate care when symptoms persist.

Common signs your work setup needs attention

Discomfort that begins during a shift and settles after work may be an early warning sign. So can stiffness that is worse after a long commute, tingling in the hands, fatigue between the shoulder blades, or pain that returns whenever you use the same workstation.

Pay attention if you regularly crane your neck toward a screen, lean to one side, grip a mouse tightly, perch on the edge of your chair, or twist repeatedly to reach supplies. These habits are often unconscious adaptations to equipment that is too far away, too low, too high, or poorly positioned for the task.

Pain is not something you need to “push through” simply because the task is familiar. New weakness, persistent numbness or tingling, worsening pain, dizziness, or symptoms after a workplace injury should be assessed by a qualified healthcare professional. Early care can help prevent a manageable issue from becoming a longer interruption to work and daily life.

Workplace ergonomics for desk-based work

For computer work, start with the items you use most often. Your keyboard, mouse, phone, documents, and primary screen should be easy to reach without stretching, shrugging, or twisting. Keep frequently used items close enough that your elbows can stay near your sides.

Your monitor should generally be directly in front of you, not off to one side. Position the top portion of the screen around eye level or slightly below, then adjust based on your glasses, vision, and comfort. If you use two screens equally, place them side by side with the centre point in front of you. If one is used most of the time, keep that primary screen directly ahead.

Choose a chair height that allows your feet to rest firmly on the floor or on a stable footrest. Your thighs should be supported without the seat edge pressing into the backs of your knees. Let your back rest against the chair rather than holding yourself rigidly upright. A small lumbar support may improve comfort for some people, but it should support a relaxed posture, not force an exaggerated curve.

Keep the keyboard at a height where your shoulders can stay relaxed and your wrists remain close to neutral rather than bent sharply up, down, or sideways. Place the mouse beside the keyboard, not at the far edge of the desk. If you spend long periods on calls, a headset can be preferable to holding a phone between your shoulder and ear.

The most effective desk posture is usually the next posture. Even an excellent setup becomes uncomfortable when held without change for too long. Aim to shift position, stand briefly, walk for water, or perform a few comfortable movements throughout the day. Short, regular breaks are often more useful than waiting until pain is severe.

Safer habits for standing, lifting, and repetitive work

Physical jobs place different demands on the body. In these roles, ergonomics often focuses on the work area, the load, the sequence of tasks, and access to proper equipment. A worker should not have to repeatedly lift from floor level, carry a load with arms extended, twist while holding weight, or reach above shoulder height when the task can be redesigned.

Before lifting, assess the object and the route. Is the load stable? Can it be moved closer first? Is there a cart, lift assist, second person, or different storage height that would make the task safer? Keeping a load close to your body reduces the leverage placed on the back and shoulders. Turn with your feet rather than twisting through the trunk while carrying.

There is no single lifting technique that makes every lift risk-free. A squat-style lift may suit one situation, while a partial squat or hip hinge may be more practical in another. What matters most is using a controlled position, maintaining balance, avoiding sudden jerking, and matching the method to the load and space available.

For repetitive hand tasks, reduce force where possible. Use well-maintained tools, vary your grip, position materials at a workable height, and take brief movement breaks before fatigue builds. Alternating tasks can be helpful when a job allows it, although it should not simply replace one painful repetition with another.

Movement is part of the solution

Ergonomic equipment is useful, but no chair, mat, keyboard, or brace can replace movement entirely. The body generally tolerates varied activity better than prolonged stillness. A few minutes of walking, gentle shoulder movement, changing from sitting to standing, or moving through a comfortable range can help reduce the sense of stiffness that builds through a shift.

This does not mean employees need to stretch aggressively at their desk. If a movement increases pain, causes tingling, or leaves symptoms worse afterward, it should be modified or stopped. The right approach depends on the condition, the job, and the person.

Building capacity outside work also matters. Gradual strength training, mobility work, and cardiovascular activity can improve tolerance for occupational demands. For someone recovering from an injury, however, generic exercises may not be enough. A physiotherapist can assess the specific movements that provoke symptoms and develop a plan that supports a safe return to full duties.

When an ergonomic assessment and treatment can help

An ergonomic adjustment is often a sensible first step for mild, recent discomfort. If symptoms continue despite changing your workstation or work habits, an assessment can identify factors that are harder to see on your own. These may include restricted mobility, reduced strength, nerve sensitivity, poor balance, or movement patterns that developed after an injury.

Start with the part of the day that most reliably brings on symptoms, then make one or two meaningful changes and observe the result.
